Usually being involved with VOICE means coming in and meeting researchers and fellow members face to face. With the current situation, many meetings, workshops and focus groups are moving online. This has been a learning curve for everyone involved to get to grips with how platforms such as Microsoft Teams and Zoom work and how we can make them work for our normal activity.
For those of you who are new to Zoom and Teams (or if you just need a refresher) using the help guides from the Microsoft and Zoom website we have put together the following so it is all in one place, to help you stay involved at home.
Before a Teams or Zoom meeting, you will be sent a link to access the meeting.
Accessing a Zoom meeting from a laptop or computer
When you click on the meeting link, a webpage will load and ask you if you would like to open Zoom. You can also download the Zoom app onto your device.
You will then be asked to enter your name and join the meeting. You will either automatically enter the meeting or wait to be added by the host, depending on the settings of the meeting. Once you are in the meeting select Join Audio by computer. You will then be able to mute and unmute your microphone as needed.
If you are unable to run or download Zoom, you can also select the option to join the meeting from your browser. If you choose to join the meeting from your browser, you will be asked to sign in or create a free account.
Accessing a Zoom meeting from a phone or tablet
When you click the link you will be prompted to download the app. The app is free to download on iOS and Android.
When the app has downloaded you will be asked to enter your name. You will either automatically enter the meeting or wait to be added by the host, depending on the settings of the meeting. When you are in the meeting, make sure your audio and camera are switched on so other people in the meeting can hear and see you.

Accessing a Teams meeting from a laptop or computer
To access a Teams meeting from a laptop or computer, you will need to use Microsoft Edge or Google Chrome as your browser. You do not need to have an account set up; you can join as a guest.
When you click on the link provided, a webpage will open which will give you two choices. You can download the Teams app or you can join on the web.
If you decide to join on the web, there may be a notice that pops up to check that it’s OK for Teams to use your camera and microphone. Make sure you click Yes as otherwise no-one in the meeting will be able to see or hear you! If you don’t have a camera, you can just join with audio.
You will then be asked to enter your name and when you are ready you can click ‘Join now’. You will be added to the ‘lobby’. The meeting organiser will be notified you are there and will let you into the call when the meeting begins.
Accessing a Teams meeting from a phone or tablet
If you haven’t already downloaded the Microsoft Teams app, when you click the meeting link, you will be prompted to do so. The app is free to download on iOS and Android.
Once downloaded you will be asked if its OK to use your microphone. Make sure you select yes as otherwise no-one in the meeting will be able to hear you!
You will then be asked if you would like to sign in or join as a guest. Select join as a guest, enter your name and click ‘Join meeting’.
